Our Digital Research client area a global leader in their field and were already experienced in holding large international events. They employ an internal team of expert event planners however they still encountered pain points when trying to source an international venue for their large forums. With an event format that combines a conference, exhibition space and seminar breakouts, venue sourcing needed to be approached with an attention to detail and foresight to ensure the different elements of the event worked together as a complete Forum.
Our venue sourcing service encompassed finding a main venue for the different meeting and catering elements as well as separate venues for gala dinners.
Through a keen understanding of our client’s business we were able to quickly shortlist potential venues that meet their long list of requirements such as main plenary space, exhibition space for over 30 booths and breakout rooms. Crucially, we also needed to make sure that this space flowed well and was conducive to networking for the delegates attending.
Furthermore, the years of experience our team has working for and with hotels gives us a solid understanding of the business decisions that are made internally, and therefore provided us with an edge when negotiating the best contract terms for this client which minimised their financial risk and met with their budgets.
